Welcome to GajLynk! By accessing or using our services, you agree to be bound by the following Terms and Conditions. Please read them carefully.


1. Agreement for Services

  • Scope: These TNC govern the agreement between GajLynk (referred to as “The Company,” “we,” “us,” or “our”) and the client (referred to as “The Client” or “you”) for the provision of event management services.
  • Contract: A separate, detailed Event Service Agreement or Proposal will be provided outlining the specific scope, deliverables, timelines, and costs for each individual event project. These TNC are incorporated by reference into that agreement.
  • Acceptance: Engagement of our services constitutes full acceptance of these Terms and Conditions.

2. Client Responsibilities

  • Information & Cooperation: The Client must provide all necessary, accurate, and timely information required by The Company to plan and execute the event.
  • Decisions & Approvals: The Client is responsible for making timely decisions and providing approvals regarding vendors, venues, and creative direction as outlined in the Event Service Agreement. Delays caused by the Client may impact timelines and costs.
  • Compliance: The Client is responsible for ensuring the event complies with all applicable laws, regulations, permits, and venue rules.

3. Fees, Payment, and Cancellation

  • Quotation: All quoted fees are based on the defined scope of work. Any changes or additions to the scope will result in a revised quotation and potential additional charges.
  • Payment Schedule: Payments are typically structured as a non-refundable booking deposit, followed by milestone payments, and a final balance due before the event date. The specific schedule will be detailed in the Event Service Agreement.
  • Late Payment: The Company reserves the right to suspend work or terminate the contract if payments are not received by the due date. Late payments may incur interest charges.
  • Cancellation Policy (By Client): Cancellation must be submitted in writing. All initial deposits are non-refundable. Additional cancellation fees may apply based on the proximity of the cancellation date to the event date, reflecting costs already incurred and non-recoverable vendor deposits. The specific cancellation fee schedule will be outlined in the Event Service Agreement.
  • Cancellation Policy (By Company): We reserve the right to cancel the agreement if the Client breaches these terms, fails to make payments, or if unforeseen circumstances make the execution of the event impossible or unsafe.

4. Liability and Indemnity

  • Insurance: The Client is responsible for securing adequate event liability insurance for the event. The Company will maintain its own Professional Indemnity and Public Liability insurance.
  • Limitation of Liability: The Company’s liability for any claim, damage, or loss (including negligence) arising out of the performance or non-performance of services shall not exceed the total fees paid by the Client to The Company for the services related to that event.
  • Indemnification: The Client agrees to indemnify and hold harmless The Company, its employees, and agents from and against any and all claims, damages, liabilities, and expenses arising from the event, except those directly caused by the gross negligence or willful misconduct of The Company.

5. Force Majeure

The Company shall not be liable for any failure or delay in performance due to circumstances beyond its reasonable control, including but not limited to acts of God, war, pandemic, terrorism, fire, flood, labor disputes, or government restrictions. In such cases, both parties will work in good faith to reschedule or mitigate losses.

6. Intellectual Property

Any concepts, designs, documents, plans, or proposals created by The Company remain the intellectual property of GajLynk until the full and final payment has been received, at which point a non-exclusive license to use the final deliverables for the specified event is granted to the Client.

7. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of India. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the courts of India.
